Panel discusses how to handle meeting cancellations

How the Bella Vista Property Owners Association should handle last-minute board meeting cancellations was the topic of discussion Sept. 3 at the monthly meeting of the Communications Committee.

The board was expected to meet at 8 a.m. Aug. 8, the day of the fl ood that inundated the POA’s golf courses. The meeting was canceled prior to 8 a.m.

Christy Attlesey, communications manager, said the usual policy is if POA offi ces are closed, all meetings are canceled. The day of the flood, the offi ces were opened but the meeting was canceled. With an 8 a.m. meeting, it’s hard to get the cancellation notice out except on the POA website — www.bellavistapoa.com.

She said if the cancellations became a regular issue, then it might be something the POA should look at. Committee member Mike Erixon agreed, saying it was not a big issue.

Committee and board Chairman Charlie Teal said he had several people approach him, saying they were surprised the meeting was canceled.

The committee also discussed how to disseminate news that might be useful to members and in addressing letters to the editor.

There are some emails that come to the administration and then go to Teal that would be benefi cial for everyone, Attlesey said. If Teal receives one that needs to be put out to the membership, then she would put a release out.

Committee member Ruth Hatcher said responding to the public can also squelch rumors.

Erixon said the board can’t respond to the letters because “you’re asking for trouble if you respond every time.” However, if there are several with the same theme, then respond.
